We collect certain information through our website, located at Kaeru CRM Suite (our “Website”). This page (this “Privacy Policy”) lays out our policies and procedures surrounding the collection and handling of any such information that identifies an individual user or that could be used to contact or locate him or her (“Personally Identifiable Information” or “PII”).
We collect the following Personally Identifiable Information from users who buy our products and services: name, email address, telephone number, address, and credit card number.
In addition, upon using the Service, individual transaction data obtained from your third-party invoicing or accounting application, (“Quickbooks,” “Xero,” “Clio” etc.) information collected via the browser, user-generated content and other information uploaded to the website by the user, in conjunction with your use of the Service may be collected. Information obtained through these means that relates to the user’s client or customer to be invoiced through Kaeru CRM Suite may at times be referred to as “Third-Party Client Information” throughout this Privacy Policy.
Additional information from or about you may also be collected in other ways, including responses to customer surveys and any communications with our customer service team.
We use “cookies” so that our Website can remember you and provide you with the information you’re most likely to need. For instance, when you return to the Website, cookies identify you and prompt the site to provide your username (not your password), so you can sign in more quickly. Kaeru CRM Suite may use certain information about you without identifying you as an individual to third parties. We do this for purposes such as analyzing how the Service is used, diagnosing service or technical problems, maintaining security, and personalizing content.
Information that can be used to identify a person is “Personally Identifiable Information.” This does not include information that has been aggregated or made anonymous. All information is securely stored on our servers in the United States. We employ the highest in industry standards to protect Personally Identifiable Information, as well as any information provided relating to your invoiced customers.
Third-party client and customer information, provided to Kaeru CRM Suite by users, shall be considered confidential and shall not be disclosed to any third party, unless required to do so by law or subpoena or if we believe that such action is necessary to conform to the law, or comply with legal process served on us. Such information shall be utilized only for the purpose for which Kaeru CRM Suite was created, which is to facilitate the billing and collection process for electronic billing of customers and clients.
Although Kaeru CRM Suite utilizes the highest reasonable levels of data security in the industry, we cannot guarantee the security of PII or other information provided to us. By using our Website, you acknowledge and agree that we make no such guarantee, and that you use our Website at your own risk.
Kaeru CRM Suite will not rent or sell your Personal Information to others. We may store personal information in locations outside the direct control of Kaeru CRM Suite (for instance, on servers or databases co-located with hosting providers). Kaeru CRM Suite will share your Personal Information with a limited number of Kaeru CRM Suite partners for the explicit purpose of providing services to you. If we do this, such third parties’ use of your Personal Information will be bound by terms at least as restrictive as this Privacy Policy.
As we develop our business, we may buy or sell assets or business offerings. Customer, transaction, email, and visitor information is generally one of the transferred business assets in these types of transactions. Platform Notice: Kaeru CRM Suite is powered by Go High Level (“GHL”). Kaeru CX will coordinate with GHL to address outages or service issues; however, third-party downtime is outside Kaeru CX’s direct control.
Initial Term: 12-month minimum commitment. All fees for the full term remain due regardless of early cancellation.
After Initial Term: Converts to month-to-month unless renewed annually. If cancelled after the initial term, access remains through the end of the current billing cycle.
Launch & Activation Fee: A one-time, non-refundable fee is due at signup. Subscription billing begins 30 days from signup (monthly or annual, as selected).
Auto-Renewal: Subscriptions renew at the then-current rate unless cancelled prior to renewal. Renewal notices will be provided as required by law.
Sales Tax: May be applied based on your billing address and applicable law.
Not included in base subscription: Additional users beyond 3, extra messaging credits, new custom workflows after onboarding, extended FSM mappings beyond core details, full-from-scratch copywriting, additional pipelines/advanced branching—these are available as add-ons and may be quoted separately.
The Kaeru Launch Pad is the core automation framework configured during Launch & Activation. It is tailored to your contractor workflow and includes:

Complimentary $30 monthly credit is applied to SMS, phone, email, and eligible AI tool usage and does not roll over. Current carrier-based rates (subject to change):
Email Sends: Up to 50,000 per month included; overage billed at $1.00 per additional 1,000 emails.

Automations: All Kaeru-built automations and Launch Pad workflows remain the intellectual property of Kaeru CX and are licensed for use during your active subscription.
Transfer Option: After the initial 12-month term, you may acquire rights to the Launch Pad automations (and any associated Zapier sequences in use) for a one-time $7,500 transfer fee. Kaeru CX is not responsible for errors or malfunctions post-transfer.
Your Data: Contacts, communications, and business data you upload remain your property. Kaeru uses your data only to deliver the services in this agreement.
You are responsible for compliance with applicable laws (e.g., TCPA, CAN-SPAM, GDPR where applicable) including consent management for messaging and email. Kaeru CX is not responsible for violations resulting from your usage.
While Kaeru CX strives for high availability, downtime may occur (including third-party outages with GHL or carriers). Kaeru CX shall not be liable for indirect, incidental, special, or consequential damages, or for losses due to downtime, data loss, or service interruptions.
Included support covers maintenance of the Suite and Launch Pad as implemented, bug fixes, and platform continuity. New custom workflows, redesigns, or net-new implementations are outside standard support and may be quoted.
All fees (including Launch & Activation) are non-refundable. Overages beyond included credits are auto-billed in $10 increments. Failure to pay may result in suspension; after 30 days of non-payment, Kaeru CX may terminate service.
Kaeru CX may adjust pricing, features, or service levels with at least 30 days’ notice. You may cancel prior to the effective date if you do not agree to changes.
Upon cancellation (post-term), access remains through the current billing cycle. After that, access is removed unless a new subscription is initiated.
These Terms are governed by the laws of the State of New Jersey, without regard to conflict-of-laws principles. Exclusive venue is in New Jersey courts, except where arbitration applies.
Any dispute shall be resolved by binding arbitration under AAA rules. Proceedings are on an individual basis only; class actions and class-wide arbitration are waived where permitted by law.
Contact Kaeru support to resolve billing issues before initiating a chargeback. Fraudulent chargebacks may result in termination and pursuit of damages.
